Job Description Summary

Under the supervision of the Facilities Manager, the Senior Assistant Facilities Manager is responsible for assisting in all areas defined as part of the Facility Manager position. This is a management position that will directly and indirectly supervise individuals, building staff, operations, and coordinate across the facilities organization at a specific location, set of buildings, or campus environment. The Sr. AFM is the ambassador for the client experience program. The Sr. AFM will also support the facilities organization at a specific location, set of buildings, or campus environment. The Sr. AFM is charged with ensuring service excellence and enhanced experience for the users and occupants within the workplace, supporting the day-to-day implementation of policies and procedures, and workplace services delivery that provides a well-managed and well-maintained building. Places an emphasis on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client’s goals and objectives. The ideal candidate will have exceptional skills in customer service, strong knowledge of the local community, hospitality- focused and the ability to support facilities management functions in a faced-paced environment.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

⢠Ensure the day-to-day operations of the facility(s) or campus, including janitorial, life-safety, engineering, site services, and general maintenance are implemented and carried out in a manner consistent with C&W policies and client directives.

⢠Responsible for the day-to-day operations of the facility(s) or campus, including janitorial, life-safety, engineering, site services, and general maintenance are implemented and carried out in a manner consistent with C&W policies and client directives. Ensure all contracts are reviewed on a regular basis and are bid out as required and confirm invoices match contract pricing

⢠Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties

⢠Respond promptly to requests for building maintenance, repairs, cleaning needs, etc. from building occupants and for the implementation of ongoing contract programs to address and resolve needs and problems

⢠Deliver âœWhite Glove❠service to clients by meeting/greeting visitors to the assigned floor / area and escorting them to their destination and ensuring prompt and efficient follow up on any issues/ requests.

⢠Ensure C&W account team members greet employees and guests with utmost courtesy and urgency to provide hands-on assistance when required. Project an approachable and professional image in personal appearance, manner, and demeanor.

â¢Â Â Under the supervision of the Account Manager, assist in providing information and reports necessary for the development of capital budgets for the facility.

⢠Expected to be thoroughly familiar with the management contract, vendor agreements, and other building/facility contracts and all requirements contained therein.

⢠Complete understanding of management contract, vendor agreements, and other building/facility contracts and all requirements contained therein

⢠Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required

⢠Proactively inspect the facility, systems, rooms, common areas, etc. and report back any findings or issues to the Facility Manager

⢠Hire, train and motivate facility personnel. Maintain positive staff relations. Conduct or approve performance evaluations for staff

â¢Â Regularly assess space readiness, ensuring workspaces, conference rooms, and offices are occupant ready.

â¢Â Ensure complaints, questions, concerns, and suggestions are addressed and conduct follow-up, if needed.

â¢Â Develop building initiatives designed to create connections between occupants and share information regarding local attractions, events (concerts, theater, sporting events, special events, etc.), and news (road closures, traffic patterns, weather issues, etc.).

â¢Â Collaborate with stakeholders to obtain Voice of the Customer data to capture service needs.

IMPORTANT EDUCATION

⢠Associateâ™s degree in facilities management, building, business or other related field required

⢠Bachelorâ™s degree preferred

IMPORTANT EXPERIENCE

⢠Minimum 3 years♠customer service experience or hospitality experience, preferably from hotel or conference services background; or commercial high-rise, campus environment, and/or property portfolio management experience

⢠One year supervisory experience preferred

⢠Experience in maintenance, construction, engineering, and all facets of property operation and building management preferred

⢠CMMS/Work Order Management experience is preferred

ADDITIONAL ELIGIBILITY QUALIFICATIONS

⢠Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers Association (BOMA) industry certifications recommended; other Engineering, Business, or technical training or certifications a plus

⢠Ability to read and understand construction specifications and blueprints

⢠Proficient in understanding management agreements and contract language

⢠Skilled in Building Management Systems maintenance and monitoring

⢠Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint)

⢠Strong discipline of financial management including financial tracking, budgeting and forecasting

⢠Knowledge of Financial Systems (Yardi a plus)

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be required to travel outside between properties in varying weather conditions.
