Job Description
Key Role & Responsibilities :
- To develop, organize, coordinate and manage all activities of the contractors (repair, maintenance, security, cleaning etc. )
- Preparing and monitor annual service charge budgets and prepare recommendations for the cap. ex. Budget.
- Provide operational finance/budget data, analysis as required to reports.
- Maintaining up-to-date schedules of all equipment, guarantees, technical and architectural drawings.
- Support Landlord in the management of construction defects of the building and its operational systems.
- Controlling & ensuring Tenants compliance with e.g. user, building regulation, repair & maintenance, reinstatement.
- Manage and ensure fulfilment of third party contractors compliance with Health & Safety regulations.
- Management and coordination of any matters arising following Insurers or other statutory inspections.
- Implement and manage environmental procedures (energy efficiency).
- Supervise working practices of contractors in the Managed Building
- Supervise the FM contractor on a day-by-day basis
- Arrange tenders for the technical services of the building
External relations:
- Work closely with the Senior Manager in supporting them in their management of fit out, technical and warranty matters
- Managing relationship with respective local Municipal authorities (e.g. fire, environmental health, building control,) and Utility companies.
- Cooperate on daily basis with tenants
- Cooperate with other external consultants appointed by the Client including Engineers, Architects, Designers, Fire and Energy Experts, Insurers, Environmental advisers, etc.
Preferred Experience:
- Operations and administration of commercial property (shopping centres, office) i.e. invoicing rent , service charges etc., repairs and maintenance/building services contracts, client reporting
- Understanding of commercial leases and service charge structures
- Lease administration, credit control, revenue and service charge budgeting/reconciliations
- Understanding of institutional investors requirements
